Overview

This page is for Hamilton-area clinics — a single clinician up to a handful of locations — that need a site which books appointments rather than describing the practice. Most projects land between $1,499 and $4,999, quoted flat before work begins, with a typical timeline of three to six weeks. If your project is bigger than that, we will say so on the first call rather than after a deposit.

A clinic site has about eight seconds

Someone with a cracked molar or a knee that has been getting worse for a month is not reading your mission statement. They want three things: do you treat this, are you accepting patients, and can they book without phoning during business hours.

So the page is built around those answers. Services written the way patients describe symptoms, availability stated plainly, and a booking path that is two taps from anywhere on the site — including the pages Google actually sends people to.

Everything else — the clinic story, the technology, the team — earns its place underneath that, for the patient deciding between you and the clinic two blocks over.

Who it fits

Single-practitioner clinics, group practices, and multi-location clinics whose site predates online booking.

Who it does not

Hospitals, custom EMR builds, or anyone needing a patient portal that stores records — see web design by industry for the other sectors we build for — a different project and a different budget.

What you own

Your domain, your hosting, your content, and a WordPress site your front desk can update without calling us.

Process

How a clinic website project actually runs

A clinic website project runs in five stages over three to six weeks: a call and service map, a content and booking audit, design sign-off on a real layout, the build with booking and privacy handled, then launch and front-desk training. The slow part is almost always content approval, so we schedule around clinic hours.

01

Call & service map

Which appointments you want more of, which you have too many of, and who you lose patients to. We leave with a page map and a flat quote.

02

Content & booking audit

We draft service copy in plain language and map how booking, recall emails and the phone line hand off to each other. A clinician signs off first.

03

Design

Home page and one service template first, so you approve a real layout rather than a mood board. Two rounds of revisions included.

04

Build, booking & privacy pass

WordPress build, booking integration tested on a real phone, encrypted forms with retention limits, accessibility to WCAG 2.1 AA, speed tune.

05

Launch & front-desk training

We migrate, test every booking path end to end, connect analytics and Google Business Profile, then train the front desk to update hours and staff.

Why choose Back9

What a clinic site needs that a generic template misses

Like our law firm web design and real estate web design work, this is not a template job. Six things separate a clinic site that fills the schedule from one that just describes the practice: how booking is wired, how forms handle health information, how services are named, how billing is explained, and how accessible it is.

Booking, not a contact form

Jane, Cliniko, Dentrix, Juvonno or Google Reserve wired into the header, the service pages and the footer — so booking is never more than two taps away, at 11pm when most of it happens.

PHIPA-aware forms

Health information does not belong in plain-text email. Ontario clinics are bound by PHIPA, overseen by Ontario's Information and Privacy Commissioner. Encrypted submission, Canadian data residency where it matters, retention limits, and forms that ask for the minimum needed to book.

A page per service, in patient language

People search "tooth pain when biting down", not "endodontic assessment". Each service gets its own page, written the way symptoms are described, with what to expect and what it costs.

Insurance & direct billing, up front

Whether you bill insurers directly, which plans you accept, what OHIP does not cover, and what a first visit costs — the most-read page on most clinic sites and usually the thinnest.

College advertising rules, respected

RCDSO, CPSO and college rules limit testimonials, superlatives and before-and-after use. We write and structure to those rules rather than handing you a compliance problem at launch.

Accessibility patients actually need

Older patients, low vision, one-handed phone use in a waiting room. WCAG 2.1 AA and AODA are the floor — legible type, real contrast, tap targets that work with a shaky hand.

Photography

Your rooms, your staff, real light

Patients are deciding whether your clinic looks like somewhere they want to sit for forty minutes. A stock photo of a smiling model with perfect teeth tells them nothing; a real photo of your reception tells them everything. Photography is the cheapest credibility on the page, so we plan the shot list first.

Consistent staff headshots so the team reads as one clinic, not six different photographers.

The waiting room, a treatment room, and the entrance — the three shots that answer "what am I walking into".

Before-and-after galleries only where your college permits them, with written patient consent on file.

A shot list before the shoot, compression after, so photos never slow the site on mobile data.

Clinic work to date

What we can show you, and what we won't

We do not publish booking counts, patient numbers or traffic charts for clinic clients, and we are not going to invent any to fill this section. What we will do is walk you through the builds live on a call and explain the reasoning behind every decision on the page.

FAQ

Questions clinics ask us first

Five questions come up on nearly every first call: whether the site works with your practice management software, what a form may collect, whether testimonials are allowed, what ranking can honestly be promised, and who writes the clinical content. If yours is not here, ask it on the call.

Will this work with our practice management software?

Almost certainly. Jane, Cliniko, Dentrix, ClearDent, Juvonno, Ocean and Google Reserve all connect cleanly. If yours provides a booking link or embed code, it can be wired into the site — and if it cannot, we will tell you before you pay anything.

Is a website form allowed to collect health information?

Carefully, and as little as possible. We build appointment requests that collect what is needed to book and nothing more, submitted over encryption, with retention limits set deliberately. Anything clinical belongs in your practice management system, not a website inbox.

Can we publish testimonials and before-and-afters?

It depends on your college. Dentistry, medicine and several regulated health professions restrict testimonials and comparative claims, and before-and-after imagery needs documented consent. We design the page so it still converts within those limits.

Can you guarantee we rank first for "dentist near me"?

No, and no one honest can — that result is controlled by Google and heavily weighted to proximity and reviews. What we control is the technical foundation, the page structure, your Google Business Profile and the local signals. Anyone promising a position is selling something they cannot deliver.

Who writes the content?

We draft it and a clinician approves it. You know the medicine; we know how to make it readable to a patient at 11pm. Nothing describing care goes live without your sign-off, and the Multi-Location tier includes copywriting for every service.

Are we locked into a contract after launch?

No. You own the domain, the hosting account and the site. Care plans are month to month and cancellable, and if you would rather maintain it in-house we hand it over and train your staff to do exactly that.
